Soelle

Privacy policy

Last updated: November 1, 2026

Responsible person: Robert Michal Palkowski (Soelle is not yet a registered business), based in Iceland.

Contact: robert@soelle.app

The short version

  • We collect what you tell us when you book a call, and use it to arrange and prepare for that call. We only send you other emails if you tick the box asking for them.
  • Your answers and contact details are never sent to analytics or advertising tools.
  • Analytics only runs if you say yes. You can change your mind at any time with “Privacy choices” at the bottom of every page.
  • You can ask for a copy of your information, or for it to be deleted, at any time: robert@soelle.app.

What we collect

  • Your answers to the four questions: the kind of work your company does, biggest challenge, and rough yearly revenue and profit ranges, plus anything you type in an “Other” or “Something else” box.
  • Your contact details: full name, business name and email address.
  • If you tick the box to join Robert’s email list: that you did, when, the exact wording you agreed to, and when you confirmed from the email we send you.
  • Your booking: the time you picked, your time zone, and the video link for the call.
  • The question you most want answered, if you choose to send one after booking.
  • Where you came from: campaign tags in the link you followed (for example, that it came from a LinkedIn message), the page you started on, the website that referred you (its name only), and whether you used a phone, tablet or computer. These never include your name or email.
  • If you allow analytics: anonymous usage, meaning the pages you view, which steps of the booking form you complete, which “Book a call” button you use, errors, your browser and device type, and your approximate location (country and city), worked out from your IP address, which isn’t kept. It’s linked to a random ID, never to your name or email.
  • If you also allow session recordings: recordings of how the homepage and the call page are used. Anything you type is hidden, and no other pages are recorded.
  • After your call: if Robert asks for it, the feedback you give, and whether you allow it to be quoted, with your name or business name.
  • Robert’s notes: anything he writes down to prepare for your call or follow up on it, and whether he’s sent your written summary. Only he sees them.
  • Technical data: to stop spam and abuse, we keep a scrambled form of your IP address for about a day. It can’t be turned back into the address without a secret key.

If you add guests to your booking, their email addresses are handled by Cal.com. This site doesn’t store them.

What we use it for

  • To book your call, send you reminders 24 hours and 1 hour before it, and let Robert prepare.
  • To email Robert when you leave your details or book, so he knows to expect you.
  • If you leave your details but don’t book, the site sends you one reminder email about 2 hours later. Only one, and none if you’ve booked by then.
  • If you tick the box to join the email list, to send you one email asking you to confirm, then, once you have, Robert’s occasional emails with practical ideas for owner-run HVAC companies. Nobody is added without confirming. Not ticking it changes nothing about your call.
  • To see which of Robert’s messages and channels lead to calls, counted from the campaign tags above.
  • If you allow analytics, to see which pages and steps help and where people get stuck.
  • To learn from your feedback after the call and, only if you tick the boxes, to quote you.
  • To keep the site safe from spam and abuse.

We use your information because you asked us to arrange a call, to run Soelle in ways you’d reasonably expect, and, for analytics, recordings and the email list, because you said yes. We don’t sell it, and we don’t use it for advertising.

Who else handles it

These services run parts of the site for us and handle your information only to do that:

  • Cloudflare hosts the site, protects it from attacks, and forwards emails sent to robert@soelle.app to Robert’s inbox. It keeps the site’s own short technical logs, which contain no answers or contact details, for up to 3 days.
  • Neon hosts the database that stores your answers, contact details, booking and any feedback, in Frankfurt, Germany.
  • Resend sends the site’s emails: your call reminders, the one reminder if you don’t book, Robert’s notifications, and the email asking you to confirm the email list. If you join the list, Resend also keeps it (your name and email) and sends Robert’s emails to it. Emails go out from its servers in Ireland.
  • Cal.com runs the booking calendar and Cal Video, which hosts the call. It sends your booking confirmation and handles rescheduling and cancelling.
  • PostHog runs the analytics and session recordings, only if you allow them, and stores them in its EU cloud. It’s set not to keep your IP address.
  • Google provides Robert’s email inbox (Gmail). Robert’s notifications about your booking, and any email you send to robert@soelle.app, arrive there. Google also serves the profile picture shown in the booking calendar.

All six companies are based in the United States. Where a location is given above, that’s where your information is stored or sent from, but it may also be handled in the US.

Cookies and browser storage

  • When you make a privacy choice, a small cookie (“soelle_consent”) remembers it for six months, so you aren’t asked on every page. It’s the only cookie this site sets itself.
  • If you allow analytics, PostHog keeps a random ID in a cookie and in your browser’s storage (both named starting with “ph_”), so it can tell visits apart. Changing your choice to no removes them.
  • While you answer the questions, your browser keeps your answers in this tab only, so going back or refreshing doesn’t lose them. They’re cleared once you’ve booked, or when you close the tab.
  • When you reach the calendar, Cal.com sets a short-lived security cookie (“__cf_bm”, to tell people from bots, for about 30 minutes) and stores a note of the time you’re booking, so the slot is held for you.

How long we keep it

We keep your answers, contact details, booking, feedback and Robert’s notes for up to 24 months after your last contact with Soelle, then delete them. If you joined the email list, your name, business name and email stay on it until you leave. Unsubscribing removes you from the list both here and at Resend. A sign-up you don’t confirm expires after 7 days. A quote you allowed stays published until you withdraw permission. PostHog keeps analytics for up to 1 year and session recordings for up to 30 days. You can ask for deletion sooner at any time.

Your choices

  • Change your analytics choice at any time: .
  • Ask for a copy of what we hold about you.
  • Ask us to correct it or delete it.
  • Object to how we use it, for example to the reminder email.
  • Leave the email list at any time, using the unsubscribe link in any of its emails or by emailing us.
  • Withdraw permission to quote your feedback.

Email robert@soelle.app. Robert will reply within 30 days, usually much sooner. If you’re unhappy with the answer, you can complain to a data protection authority. In Iceland, where Soelle is run from, that’s Persónuvernd.

Changes

If what the site collects or who handles it changes, this page changes first, and the date at the top is updated. See also the terms.
